Sr. Project Manager

The Senior Project Manager plans, organizes, and drives cross-functional projects across All Flex Solutions, ensuring they are completed on time, within budget, and to the required standards. This role is assigned to the organization's highest-priority initiatives regardless of which department owns the work — operations, engineering, quality, supply chain, finance, sales, human resources, or information technology — and acts as the leader, coordinator, and communicator for the project team and its stakeholders. The Project Manager is expected to be an expert in project management discipline rather than a technical subject matter expert, and relies on functional experts for technical content while holding the team accountable to scope, schedule, and results. The Project Manager reports to the Vice President of Operations.
Essential Job Duties
Project Intake and Planning:
·        Project Intake and Prioritization: Partnering with the Vice President of Operations and functional leaders to evaluate incoming project requests, confirm business justification, and sequence work against organizational priorities and available capacity.
·        Defining Project Scope: Collaborating with project sponsors and stakeholders to clearly define goals, objectives, deliverables, success measures, and what is explicitly out of scope.
·        Developing Project Plans: Creating detailed plans that outline tasks, owners, dependencies, timelines, milestones, resource allocation, and budgets.
·        Identifying Risks and Mitigation Strategies: Anticipating potential problems and developing contingency plans before they affect schedule, cost, or quality.
·        Leveraging Subject Matter Experts: Drawing on functional and technical experts to build credible plans and estimates, and asking informed questions to test assumptions without owning the technical content.
 
Cross-Functional Execution and Monitoring:
·        Leading Project Teams Without Direct Authority: Guiding, motivating, and holding accountable team members who report to other functions and facilities, earning influence through credibility, organization, and follow-through.
·        Establishing Project Cadence: Running kickoff meetings, recurring working sessions, and action item reviews with clear owners and due dates for every commitment.
·        Maintaining a Single Source of Truth: Managing all project plans, tasks, timelines, status, and documentation in the company's project management platform so stakeholders can self-serve current information.
·        Tracking Progress and Reporting: Monitoring progress against plan and budget, and escalating slippage early with options and a recommended path forward.
·        Managing Changes and Issues: Addressing unexpected issues and changes to scope, timeline, or resources through a documented change and approval process.
·        Removing Roadblocks: Coordinating handoffs between departments and sites, resolving competing demands, and elevating decisions that require executive input.
·        Ensuring Quality: Monitoring the quality of deliverables and confirming, with the owning function, that they meet the required standards.
 
Communication and Stakeholder Management:
·        Maintaining Open Communication: Keeping sponsors and stakeholders informed about project status, progress, risks, and decisions needed.
·        Reporting to Leadership: Providing concise status updates and portfolio-level reporting to the Vice President of Operations and the executive team, including summaries suitable for board and customer audiences.
·        Adapting to the Audience: Communicating effectively with production floor personnel, functional managers, and senior leadership alike.
·        Managing Stakeholder Expectations: Surfacing tradeoffs and competing priorities clearly so leaders can make timely decisions, and addressing stakeholder concerns throughout the project.
·        Building Relationships: Fostering strong, trust-based working relationships across all functions and All Flex Solutions locations.
·        Project Closure and Continuous Improvement:Ensuring Project Completion: Finalizing all deliverables, confirming open tasks are complete, and transitioning ownership to the responsible function with documented accountability.
·        Verifying Results: Measuring outcomes against the original objectives and business case, and reporting actual results to leadership.
·        Documenting Lessons Learned: Identifying what went well and what could be improved for future projects.
·        Closing the Project: Officially closing the project and ensuring that all resources are released.
·        Strengthening Project Management Practice: Developing and maintaining standard templates, workflows, and reporting standards, and coaching others in the organization on their use.
 
Qualifications
Education
·        Bachelor's degree in Business, Operations, Supply Chain, Engineering, Sciences, or a related field
·        Advanced degree preferred; equivalent project management experience may be considered in lieu of a degree
 
Experience and/or Training
·        Prefer 5+ years of progressive project management experience; minimum of 3 years managing projects end to end
·        Demonstrated success leading cross-functional project teams without direct reporting authority
·        Experience managing multiple concurrent projects with competing priorities and shared resources
·        Experience in a manufacturing or similarly operationally complex environment preferred
·        Technical or engineering subject matter expertise is not required; the ability to learn a new subject quickly, ask informed questions, and challenge assumptions is required
·        Experience implementing or standardizing project management processes and tools is a plus
 
Licenses/Certifications
·        PMP certification preferred; CAPM, PRINCE2, Certified ScrumMaster, or Lean Six Sigma certification also considered
·        Certification is not required with a demonstrated record of successful project delivery
 
Technology/Equipment
·        Working proficiency with project management software required
·        Monday.com is the AFS standard; prior experience is a plus but not required
·        Proficient in Microsoft Office applications, particularly Excel, PowerPoint, Outlook, and Teams
·        Familiarity with ERP/MRP systems and business reporting tools helpful
 
Travel
·        Travel between All Flex Solutions facilities as project assignments require
·        Out of town travel less than 10%
 
Additional Skill Set
·        Exceptional organization, attention to detail, and follow-through on commitments
·        Strong written and verbal communication, including the ability to summarize complex projects concisely
·        Ability to influence, negotiate, and hold peers accountable without formal authority
·        Must demonstrate tact and good judgement in handling difficult environments and conversations
·        General awareness of quality management systems such as ISO 9001 and AS9100, and the ability to work within them in partnership with the Quality function
·        Bias for action and comfort operating with ambiguity and shifting priorities
 
We offer a competitive base salary in the $95,000 to $115,000 range, based on experience and qualifications, along with annual bonus and profit-sharing opportunities tied to performance.
